Inter Library Loans

The Inter Library Loan Service is available to help you obtain material not held by the University Library. The service is available to staff and students of  Northumbria University with a valid University smartcard and covers a wide range of material such as books, journal articles, conference papers, and theses. Only material to support academic study, teaching or research may be requested.

Before you submit a request please check Library Search to ensure that the item you require is not already in stock and be selective in choosing which items you require. The costs of obtaining Inter Library Loans are met by the Library on your behalf, if you are a current student or member of staff. A fee of £13 per item is charged to external or associate borrowers.

Inter Library Loans can be requested directly from Library Search, which allows us to supply your request much faster. Requests can be placed in two ways:

  1. From a search results page, where an item shows a Request it button, you can sign in and request the item immediately after completing the Request an inter library loan form. The information about your request will be automatically populated into the form.

     
  2. You can place a request without searching, by Signing in to Library Search and choosing the Request an Inter Library Loan link. You will be required to input the information about your request into this form.
     
  3. Go to Library Search

Inter Library Loans - Frequently Asked Questions

How many applications can I make?

Staff, Research students and PhD students may place up to 100 requests per academic year.

If your research requires additional Inter Library Loans please contact interloans@northumbria.ac.uk

Undergraduate and taught postgraduate students can make up to 50 requests per academic year.

How can I apply for an Inter Library Loan?

The Inter Library Loan request form can be found here. It is also possible to request an inter Library loan direct from Library Search for items that are not held in our collection.

Select the relevant form for the type of item you require; book, journal, thesis or conference paper. If you are unsure please ask at an Ask4Help desk or call Ask4Help on 0191 227 4646.

If the online request form is unavailable please ask a member of staff at any Ask4Help desk for a request form.

Before placing a request please ensure that all Library charges are cleared.

To expedite your requests it is important that you supply us with as much accurate bibliographic detail as you can. Please ensure that you state where the reference was cited so that, if necessary, we can quote it to our supplier.

Can I renew an Inter Library Loan?

It may be possible to renew an Inter Library Loan item. Access your account by logging into Library Search and select the renew option next to the Inter Library Loan; alternatively, send an email to interloans@northumbria.ac.uk. In both instances, we will have to contact the lending library to ask if a renewal is possible, so there may be a delay before we know if a renewal can be granted or not, but requesting a renewal 4 days in advance of the return date is usually sufficient (keep a hold of your Inter Library Loan during that period, even if it becomes overdue).

Where do I return my Inter Library Loan item?

Inter Library Loan items must be returned to the Ask4Help desk at City Campus Library, Coach Lane Library or London Campus by the date specified on the book insert.

Can Inter Library Loan items be recalled?

Inter Library Loan items can be recalled at any stage by the lending library. In the event that the item is recalled, an email will be sent to your university email account  to ask you to return it as soon as possible.

How long will it take to supply my request?

Our main supplier can usually satisfy requests within 2-10 days depending on availability.  If we have to try several locations it may take longer. If a worldwide search is required this may add to the supply time. If we have failed to locate a copy within this country we would normally ask you whether you wish us to search abroad or we may explore alternative methods of satisfying your request.

In some instances, a request may be supplied within 24 hours as an ebook, delivered via a link to your university email address.

How will I know when the item has been supplied?

We will notify you of the item’s arrival by email to your university email account and ask you to come and collect it.  Items must be collected from the Ask4Help desk at City  Campus Library, Coach Lane Library or London Campus 

Journal articles, book chapters and individual conference papers will usually be supplied direct to your university email address.

How long can I borrow items for?

DRM Lite documents from the British Library are yours to keep once printed out or if saved to a specified location it should be possible to access them for up to 3 years.

Items borrowed have loan periods set by the lending library and in some cases may be supplied  for use in the library only. We must adhere to any regulations governing the loan of the item. Most libraries will lend their stock for a month unless it is in heavy demand in their own institution.

What happens if there are problems with my request?

If we have any problems obtaining your request we will contact you for further information. If you are experiencing difficulties please contact Ask4Help in the first instance.

I want to request an article for use in the classroom what do I need to do?

If you require a copy of a work to use in a module you are teaching, please contact the Reading List Service.

The Copyright Service will be happy to advise on the use of third party material in lectures.
