Car Travel Information

Due to the recent incorporation of the Corporate Manslaughter & Homicide Act, we are undertaking steps to improve our procedures to comply with the requirements of the Act.

The Health & Safety Executive have suggested guidelines for organisations to follow which means that we have to undertake a new approach to the way we book hire cars, accordingly we are implementing the following procedures with immediate effect.

• A check of all employees’ driving licenses to ensure they meet the legal requirements to drive and to ensure that any speeding points, disabilities that affect their driving, convictions or insurance claims that may have been incurred are declared .

To support this requirement we have implemented a Drivers Permit Scheme throughout the University.  If you hire vehicles during the course of your duties, you will be required to complete the Drivers Permit Application Form prior to booking any further vehicles (you will be required to complete this annually).  The information gathered is a requirement of our insurance policy and as you will be covered by this Policy whilst driving, we have a legal obligation to request this information.

Please note that all data requested is strictly in confidence and our procedures for requesting and storing the information comply fully with the requirements of the Data Protection Act.

Upon completion of the Permit request form, you will be emailed your unique permit number (you will need a copy of your driver’s license to complete the form), this permit number is valid for 12 months and must be renewed upon expiry. In order to hire vehicles you must contact the appropriate administrator for your School or Service Department, they will then check the validity of your permit number and book an appropriate vehicle for your use. There is also a link provided that will enable you to check the hire prices once you have been issued a Drivers Permit.

The drivers permit scheme is applicable to all Students and Staff and we must emphasize that without a valid permit number you will be unable to hire a vehicle.
