FAQs Apprenticeship Service Account and Funding Approvals

This FAQ section provides essential information for employers on using the Apprenticeship Service Account and managing funding approvals. It answers common questions around account setup, permissions, approval timelines, funding requirements, and best practices to ensure smooth delivery of your apprenticeship programmes. Whether you’re new to the system or need a quick refresher, these FAQs are designed to help you stay compliant and avoid delays in accessing government funding.

Yes, all UK employers must register for an Apprenticeship Service Account to access government apprenticeship funding, whether you’re a levy-paying business or a non-levy employer seeking co-investment.

With an Apprenticeship Service Account, you can:

  • Access apprenticeship funding — reserve funds or receive levy transfers
  • Post apprenticeship vacancies — advertise roles to attract candidates
  • Manage apprentice records — approve training details and provider submissions
  • Confirm training costs — agree prices with training providers
  • Set permissions — allow training providers to support account tasks
  • Track payments — monitor funding and reconcile transactions
  • Sign the employer agreement — formalise your participation

You can grant your provider permissions to set up apprentice records, reserve funding, and prepare details for final approval. However, only you can give the final sign-off by logging in and selecting "Approve."

If you’ve submitted a cohort request or granted provider permissions, we’ll send the approval request just before the programme begins. This ensures we have the confirmed dates and initial skills assessment to determine final pricing.

  • Non-levy employers can only reserve funding up to 3 months before the start date
  • We require confirmed start and end dates
  • Prior learning assessments may affect the apprenticeship price

This refers to the full cost of the apprenticeship training, as agreed between the employer and the training provider. It represents the total value of the training, not the amount the employer will necessarily pay. For non-levy employers, the government typically covers 95% of this cost through co-investment, with the employer contributing the remaining 5%.

If you’re a non-levy employer and don’t reserve funding before the programme begins, you won’t be able to claim government support — and may have to delay the apprenticeship start.

Log in to your Apprenticeship Service Account, click on Settings next to your name, and turn on email notifications. Alerts will be sent to the email address linked to your GOV.UK One Login, as well as to any additional users you've added and enabled notifications for.

We strongly recommend giving access to multiple users within your account. This helps ensure continuity if staff change roles or leave your organisation.

Either grant us the appropriate permissions in your account or submit a cohort request. If you’re submitting the cohort request yourself, please use our UKPRN: 10001282.
